The Role This role will be located in our Newcastle office and will be responsible for providing administrative support to the General Counsel & Risk function. The individual is expected to support the routine administrative tasks for the function as well as any ad-hoc tasks or projects that arise. The individual will be supporting two Executive Assistants of the function. Key responsibilities Administrative support for routine requests from the team. Assisting with managing requests submitted through ServiceNow Organise meetings including those involving different time zones. Set up mailboxes and maintain team distribution lists Maintain the database of documents on iManage Assist with travel costings and options for the team to travel and arranging travel, as required Coordinate printing jobs and will liaising with the London printing team. Support document-related tasks such as PDF formatting, amending and redaction, document comparing required for file reviews and investigations. Create team agenda for team meetings Assist in preparing PowerPoint presentations for team meetings and other presentations or training sessions Process invoices and expenses Person specification Strong communication, organisational and administrative skills Time management and prioritisation skills Attention to detail proofreads all work, checking for spelling, grammar and consistency Proactive approach and enthusiasm to work independently Willingness to learn and develop skills Demonstrate a positive attitude and interest in the work. Foster collaborative working relationships with team members of the team and work towards the interests of the whole team and business Exercises confidentiality, discretion and personal sensitivity in all aspects of role Skills & Experience Intermediate user of key software packages Microsoft Word, Microsoft Outlook & Microsoft PowerPoint and takes responsibility for any training to improve relevant skills needed.
